Cancellation Policy

1. Eligibility and Authorization Massage therapy sessions for Veterans must be pre-approved by Veterans Affairs (VA). Clients are responsible for providing a valid VA referral and authorization number before booking. The authorization must clearly state the number of approved sessions, service type, and expiry date. Without current authorization, appointments will be billed directly to the client at the regular rate. 2. Booking Appointments Appointments can be booked by phone, email, or online once VA authorization is received. Sessions must be scheduled within the approved date range specified by VA. Clients are encouraged to book multiple sessions in advance to ensure availability before their authorization expires. 3. Arrival and Punctuality Please arrive on time for your appointment to ensure you receive your full session. If you arrive late, your session may be shortened to avoid impacting the next client’s appointment. Arrivals more than 15 minutes late will be considered a missed appointment and will incur a 100% cancellation fee billed to your insurance. 4. Session Documentation All VA-covered sessions will include required clinical notes and treatment reports maintained securely in accordance with privacy standards. Clients are responsible for notifying the clinic of any changes in authorization, address, or contact information. 5. Payment and Billing Sessions authorized by VA will be directly billed to Triwest/Veterans Affairs. Any services provided outside the scope or date range of VA authorization must be paid by the client at the time of service. 6. Conduct and Professional Standards All sessions are conducted in accordance with professional massage therapy and ethical standards. Any inappropriate behavior or conduct will result in immediate termination of the session and may lead to discontinuation of services. 7. Policy Updates This policy may be updated periodically to remain compliant with VA guidelines and Unique Healing Works LLC procedures. Clients will be notified of any significant changes.
